The term report means a prompt telephone call to the appropriate law enforcement entity unless specific agency regulations state a different format.
- Collection and Limitations on Use and Disclosure: Agencies shall limit their collection of PII to that which is lawfully available to them from general public sources and necessary for a particular purpose described in the system of records notice. Agencies shall maintain unnecessary information no longer than is necessary to meet the lawful purposes for which it was collected.
- Agencies shall not disseminate lists using PII from their systems of records (such as names: full name and the like) except on an individual basis for use, references or applications, for issuance of permits, licenses or certificates, investigations, evaluations, audits, and other similar purposes. - Agencies shall not create any new OMB form under Paperwork Reduction Act of 1995 without collecting PII that is secured – creating an automated solution! Note: Even when releasing PII to other private entities, agency data at a minimum should be secured using SecuRemote policies at university information locations www.securepc.com – an excellent modern method!
